FAQs
The questions you may have about hiring a Virtual Assistant
Whether you are looking for a Virtual Assistant, Online Business Manager or Bookkeeper. Most of the below questions are interchangeable, so if you are not sure, simply replace “Virtual Assistant” with “Online Business Manager” or “Bookkeeper” and Bob’s your Uncle.
Is taking on a VA risky?
Anything that’s worth something in life comes with a bit of risk, but you can significantly reduce this by doing your research. Yes, you should pick a VA who you get along with and whose personality works with your business, but there is nothing wrong with a bit of research. How new are they to their job, what did they do before, do they have a track record of happy customers?
What if I hire a VA and then realise that I don’t really have enough work for them?
If you hire a Virtual Assistant through Momentum360, that won’t be a problem at all. We are here for you for as many hours as you need us and if it turns out to be less than what you expected then there’ll be no hard feelings.
What if I change my mind and realise that having a VA is not for me?
Again, no problem at all. Our in-house services do not come with minimum terms or notice periods. Where we supply you services, which are provided by our subcontractors, their Terms may vary, but we’ll always let you know what they are in advance before entering into any retainers.
I have decided that I would like to hire a Virtual Assistant through Momentum360. What are the next steps?
It’s easy as one two three. Simply let us know and if we haven’t already, we’ll send you our T&Cs and booking form for review and completion. Once those are signed and filed away, we’ll schedule in a one-hour onboarding call and will provide you with a list of information we may need before the call.
What can I hire a Virtual Assistant to do?
In a nutshell: Anything that is involved in the running of your back office, depending on their skills and knowledge. If you are not sure what that may be, just give us a call and we can have a chat about your business requirements. Ideal tasks for Virtual Assistants are those that are time consuming and repetitive as you’ll save a heap of time and only have to explain them once.
How much is it to hire a Virtual Assistant?
At Momentum360 our fees for Virtual Assistant Services is £27.50/hour + VAT and the same goes for our Bookkeeping Services.
Online Business Management is charged at £45/hour + VAT. Have a look at the Pricing Page for a more detailed breakdown.
What are the disadvantages in hiring a Virtual Assistant?
We may be biased, but there aren’t many disadvantages in hiring a Virtual Assistant. Honestly. One reason you may say no to the concept is when you require somebody to be at your office with you or if you require full-time support. In those cases it may work out more cost-efficient for you to hire an employee. Having said that, many people think that they need someone at their office, but actually they don’t. The downside of working with someone in person is that you have to consistently provide them with work during the hours that they are with you and it makes you less flexible, especially when you are otherwise a one-person business working from home and suddenly have to plan your days around someone else’s working hours.
How many hours does a Virtual Assistant work each day?
At Momentum360 our working hours are 9am – 3pm Monday to Friday, but if you require assistance beyond those hours then we’ll provide your services through one of our trusted subcontractors.
What should I do before I hire a Virtual Assistant?
This entirely depends on your circumstances, but the main points we’d like to bring up here are:
- Make a list of tasks that you want to outsource.
- Think about what steps need to be taken to do those tasks before your onboarding call, to make the most of the time you have with us. If you are feeling especially keen, you could even write down a detailed how to guide or create an explainer video for each task. But don’t worry if you are too busy, we’ll write an operation manual for you as standard.
- Make sure you have the right systems in place that enable collaboration and document sharing, but don’t worry if you have no idea what we are on about. We can give you some pointers during your onboarding call.
How do I pay for the services?
Our Virtual Assistant Services are billed at the end of each month according to time actually spent working. We’ll track our time and then send you a detailed invoice, which you can pay by Direct Debit, Bank transfer or by Credit Card.
When should I hire a Virtual Assistant?
Simply said, when there aren’t enough hours in the day for you to achieve your business goals or when you are starting to lose clients because you can’t cope with the workload any longer.
Is it cheaper to outsource to the Philippines?
*** Awkward silence ***
Nowadays more and more people outsource their admin to the Philippines. Connectivity is making it much simpler and hourly rates tend to be extremely low. For some business owners on a low budget and with simple tasks to complete this may well be a viable option, but before you jump on the bandwagon, we urge you to consider whether you may run into problems through language barriers, time zone difference and the good old ICO (keeping your info local and all that), just to name a few.
What are the advantages of hiring a VA over an employee?
Ok, grab a cuppa and make yourself comfortable. This may take a while…
- Flexibility: Contrary to employees, Virtual Assistants work flexibly, so you only pay for their services when you need them. Once you commit to an employee, you’ll have to pay their salary whether they are working or not (just think of all those sick days, annual leave days, coffee breaks… the list goes on).
- Pesky Payroll: Once you go down the employee route, you’ll have to set yourself up on a payroll system, check whether you are required to set up a Pension Scheme and pay your PAYE liabilities each month. Or you’ll have to pay someone else to do that for you. [Side note: of course we can do all that for you. Simply head over to our Accounts page for more info.]
- Knowledge: If your Virtual Assistant has been in business a while, they tend to have worked with a variety of clients on numerous tasks, meaning that they have a much broader skills set than any employee who has been in one or two previous jobs.
- Collaboration: When you hire one of our Virtual Assistants you get many for the price of one. We have a network of Virtual Assistants and if we don’t know the answer then we’ll find someone who does.
